Your Role
As a Team Assistant, you will support the Finance Director with all administrative tasks and serve as the primary point of contact within our assistant pool. You will:
- Organize meetings and conferences, including preparing and collecting support materials.
- Produce expense reports and coordinate documents for signatures (wet ink or electronically via DocuSign/Smartsheet).
- Ensure quality control of documents produced by various teams.
- Assist in creating PowerPoint, Excel, and Word templates for reports.
- Gather and coordinate documents with external counsel.
- Track the status of circulating documents.
- Liaise with other country teams and internal departments.
- Handle general office duties including printing, filing, and archiving.
- Interact with the Luxembourg Asset Management Team and serve as the point of contact for our accounting service provider.
- Back up other Team Assistants when required.
Your Profile
- Minimum three years’ experience in a similar role.
- Experience in Luxembourg/International Funds administration is desired.
- Strong communication and organizational skills.
- Fluent in English; knowledge of German and/or French is beneficial.
- Proficiency in Microsoft Office applications, with knowledge of Visio, PowerPoint, and Excel being an asset.
- Ability to work under multiple deadlines and manage several projects simultaneously.
- A proactive, self-motivated approach with a keen eye for detail.
